Paperworld China 2026: Plan a Shanghai Stationery Sourcing Trip

Build a coordinated stationery range at the fair, then use a Shanghai export-team appointment to resolve samples, packaging and quotation details.

A stationery buying trip can produce a suitcase of attractive samples without a collection that fits the shop. A notebook may suit the price point but miss the intended pen colour; a gift set may look right but require packaging that changes the order economics. Paperworld is most useful when those choices are made together.

Use Paperworld China 2026 to build a coherent shortlist, then arrange a separate Shanghai supplier meeting when it can resolve the commercial details of that range. For writing instruments and school or office stationery, M&G provides a concrete local export-team contact. A straightforward purchase from an existing catalogue may be settled at the fair; a coordinated range with several variants gives a follow-up appointment more work to do.

Build the range around a sales channel

Paperworld runs 4–6 December 2026 at Shanghai World Expo Exhibition & Convention Center. Its programme combines professional buying with consumer engagement, and its 2026 presentation gives particular attention to fine-art materials, design-led stationery and cultural products. Twenty Pro focuses on international stationery brands, Art Top on art materials, and The Mart on collectible stationery and original design. A dedicated IP Zone adds a route for licensing conversations.

Choose a primary mission before exploring that breadth. A school-supply distributor may need repeatable core lines and replenishment terms. A boutique retailer may be looking for a coordinated notebook-and-pen collection with distinctive packaging. An art-materials buyer needs to assess the paper, pigments and tools together. These missions can share a hall while producing very different shortlists.

For character merchandise, ask which territories and sales channels the offered arrangement covers. Keep that conversation separate from a request for an unbranded or custom-decorated product. This helps the supplier respond with an appropriate commercial proposal from the start.

Turn the samples into a quotation brief

Record each promising item under a product reference, photograph and intended role in the range. Capture the choices that affect the order: variants, target quantity, packaging and the sample you want to review next. A small, consistent set of fields makes offers easier to compare after the trip.

For a pen, the discussion might cover writing format, ink colour, refill arrangement and pack size. For a notebook, it might cover finished size, page count, ruling, paper, binding and cover finish. These are questions to put to the supplier using its actual offer. Where items will be sold as a set, ask for both the individual-item price and the assembled-set proposal, including packaging and packing quantities.

Identify which decisions are already fixed and where you welcome alternatives. For example, the retail pack size may be essential while a cover finish is negotiable. Ask suppliers to quote the same base specification and show optional changes separately. That turns a collection of samples into a purchasing discussion with clear trade-offs.

Follow up with the relevant Shanghai export team

The organiser’s 2026 announcement names M&G among participating brands. M&G’s own company profile lists writing tools, student stationery and office stationery. Its international contact page publishes No. 5, Lane 288, Qianfan Road, Xinqiao Town, Songjiang District, Shanghai, together with regional business contacts and [email protected].

Use that contact to request an appointment around your product shortlist. Send the destination market, sales channel, selected references, expected quantities and the decisions you need to make. Ask the team whether it can cover the whole range and propose the right colleagues, samples and meeting location. If private-label development is part of your plan, establish the available commercial arrangement in that first exchange.

The published contact is in Songjiang, while the exhibition venue is in Pudong. Give an off-site appointment its own time block after the team agrees the place and time. If production access would help answer a specific question, include that request in the booking discussion so that the host can arrange the appropriate site and staff. An export-team meeting at the fair can be equally useful when the samples and decision-makers are already there.

Give the follow-up a clear job

Use the opening day to compare ranges and create a manageable shortlist. Spend the next part of the visit revisiting the strongest offers with consistent questions. A later appointment during the fair, or an agreed meeting after it, can then concentrate on the remaining decisions. If considering Monday 7 December for that follow-up, settle the appointment before extending your hotel stay.

Aim to leave with one working list: selected product references, agreed variants, requested samples, quotation responsibilities and the next response date. For a multi-item range, the most useful outcome may be removing products that cannot work together commercially and keeping a smaller collection that can move forward.

A separate city journey earns its place when it brings the right people or samples into that decision. For a small catalogue order, a focused stand meeting followed by remote sample approval may use the buying budget better. For a range that needs coordinated variants and packaging, a prepared supplier appointment can connect the fair’s product ideas to the next purchase decision.
