HOTELEX Shanghai 2027: How to Plan Commercial Kitchen and Foodservice Sourcing

Turn a real hotel, restaurant or chain-store operating model into a comparable equipment, refrigeration, beverage, ingredient and service plan at HOTELEX.

A commercial kitchen is not a collection of independent machines. Menu, order pattern, labour, utilities, food safety, cleaning, storage and service support determine whether the equipment works as one operation. HOTELEX Shanghai 2027 is broad enough to connect these decisions, but its scale becomes useful only after the buyer defines the outlet or production model.

The most productive route starts with the food and beverage task, follows it through preparation, cooking, holding, service, warewashing and waste, and then tests whether suppliers can support the complete operating cycle. FineFood Shanghai 2027, held inside the same dates and venue ecosystem, adds value where ingredients, cold chain and menu economics influence the equipment choice.

Convert the concept into an operating brief

HOTELEX runs from 30 March to 2 April 2027 at the National Exhibition and Convention Center in Shanghai Hongqiao. Its official scope covers catering equipment and supplies, tableware, fine food, refrigeration, beverages, coffee and tea, ice cream and dairy, baking equipment and ingredients, bars and drinks, foodservice packaging, central-kitchen machinery, and franchise resources.

Before the show, describe one real operation. A useful brief includes:

  • service format: hotel breakfast, à la carte restaurant, café, bakery, bar, quick service, delivery kitchen or central production;
  • menu families and the few items that drive most volume;
  • peak orders per hour, batch size and opening hours;
  • fresh, chilled, frozen and ambient storage needs;
  • available floor area, access, ventilation, drainage, power, gas and water;
  • staffing level, skill assumptions and cleaning time;
  • destination-market hygiene, electrical, gas and fire requirements;
  • expected opening date, project budget and service location.

For a chain, add the number and type of outlets, what will be prepared centrally, what remains in-store and how much variation is allowed. For a hotel, separate guest breakfast, banqueting, room service, specialty restaurants, bars and staff dining. They share infrastructure but can have very different peaks and quality expectations.

Follow the product flow rather than the equipment category

Begin with a simple flow diagram: receiving, inspection, storage, preparation, cooking or production, holding, plating or packing, service, return, washing and waste. Then place each shortlisted machine into that flow.

This exposes dependencies that a product-by-product tour can miss. A high-capacity oven has limited value if preparation, blast chilling, cold storage or extraction cannot keep pace. A fast coffee machine can still create a queue if milk handling, grinder setup, payment or cleaning is the bottleneck. Packaging equipment may raise output while introducing new sealing, labelling, consumable and shelf-life questions.

Use one calculation basis for every candidate:

Ask suppliers to state the conditions behind capacity claims. Portions per hour depend on load, product size, starting temperature, recipe, operator sequence and recovery time. A quoted maximum is not comparable until those assumptions match the buyer’s operation.

Compare the equipment as a working station

At the stand, examine the machine together with the space, people and utilities it requires. Record footprint, service clearances, door swing, loading height, extraction, drainage, water quality, electrical load, gas pressure, heat rejection and access for repair. A dimension drawing is more useful than the front-view size alone.

Run one representative product or process through the station. For cooking equipment, define product, load, starting state, target result and cycle. For refrigeration, define product load, pull-down requirement, ambient condition, door openings and recovery. For coffee, align beans, dose, drink recipe, milk workflow, water and cleaning routine. For warewashing, align soil level, rack mix, water treatment, chemicals, throughput and drying expectation.

Compare control and recipe management in the same way. Check who can create or lock programmes, how settings move between branches, what happens after power loss, which data can be exported and whether remote functions require a continuing service. A multilingual interface helps operations only when training, permissions and update responsibility are also clear.

Cleaning deserves its own demonstration. Ask which parts are removed, which cycles are automatic, how long the equipment is unavailable, what chemicals and consumables are required and where residue can accumulate. Daily cleaning labour and downtime often matter more than a small difference in headline cycle speed.

Use FineFood to test whether the menu and machinery agree

FineFood Shanghai concentrates on seafood, meat, hot-pot products, prepared and frozen foods, grains and oils, seasonings and selected agricultural products. It is useful when the operator is choosing between scratch preparation, semi-prepared inputs and centralised production, or when imported and local ingredients create different cold-chain and handling needs.

Take a short menu and ingredient specification into the food section. For every important item, record portion form, incoming temperature, storage life, thawing or preparation, yield, allergen and traceability information, packaging format, minimum order and delivery frequency. Then return to the equipment decision.

A frozen prepared product may reduce skilled labour but increase freezer capacity, thaw management or packaging waste. Fresh ingredients can strengthen menu positioning while adding variability, preparation space and shelf-life pressure. A central-kitchen product can improve consistency, yet its reheating, finishing and holding process still determines the guest experience.

Treat tastings as product-development evidence, not a final supply decision. Record the exact item, preparation method and batch. The same ingredient can perform differently when scaled, frozen, held or prepared on the buyer’s equipment. Samples, specification sheets, shelf-life evidence and a controlled kitchen trial should follow the show.

Separate catalogue price from installed operating cost

Normalise quotations around the same scope. List equipment, accessories, freight basis, installation, commissioning, utilities, water treatment, extraction, software, initial consumables, training, warranty, preventive maintenance and spare parts. State whether taxes, site work and local certification support are included.

Then compare operating inputs: energy, water, chemicals, filters, packaging, labour, planned maintenance and expected wear parts. The lowest machine price can be offset by difficult cleaning, proprietary consumables, slow service or weak parts availability.

Service capability should be tied to the destination, not a global logo. Ask who responds in the project country or city, which tasks can be handled remotely, typical parts route, training language and what the operator must keep on site. For a chain rollout, clarify whether installation and settings can be repeated consistently across locations.

Where a distributor or service partner sits between buyer and manufacturer, map the responsibilities. The contracting entity, equipment maker, installer, software provider and maintenance company may differ. The quotation and warranty should identify which party owns each action.

Allocate four days by decision maturity

Use the first day to test the operating brief against the available solutions and remove categories that do not fit. On the second day, compare the strongest equipment stations with the same process and utility questions. Use the third day to connect food, beverage or ingredient choices to the shortlisted machinery and hold deeper technical meetings. The final day should close layout, scope, service and trial actions.

Multi-department teams can divide among kitchen equipment, beverage, ingredients and commercial work, provided they use the same menu, volume and outlet assumptions. Meet at the end of each day to record changes. If the food team changes portion format or supply frequency, refrigeration and preparation requirements may change with it.

A buyer renovating one outlet should concentrate on the small number of stations causing real capacity, quality or labour problems. A new-build hotel or central kitchen needs broader coordination and may require architects, kitchen consultants, operators and engineering teams to review the same shortlist after the show.

Move the strongest candidates into a controlled trial

The show can demonstrate features and give buyers rapid access to many suppliers. Final selection should follow a trial that represents the intended product, load, operator and environment. Agree the success criteria before the trial: output, temperature, time, consistency, yield, energy or water use, cleaning, noise, ergonomics and recovery after a fault.

For an equipment supplier visit, send the product and process brief in advance. Ask the supplier to prepare the exact configuration and the staff needed to answer application, installation and service questions. A factory visit becomes relevant where build configuration, component control, testing, spare-parts support or rollout capacity remains a material risk; it is not a replacement for an application trial.

For ingredients, run the trial through the actual equipment and holding period, then check sensory result, yield, labour, waste and per-serving cost. For packaging, include sealing integrity, label information, transport, reheating and disposal. One integrated trial reveals trade-offs that separate booth demonstrations cannot.

Leave with an operating package, not a hall collection

For each shortlisted station, keep the menu or process served, target throughput, equipment configuration, layout and utility needs, cleaning method, service scope, ingredient or packaging dependencies, quotation basis, trial plan and next owner. Link all drawings, samples and documents to a revision date.

HOTELEX is most valuable when its breadth is converted into a working operation.
